Privacy notice
This notice explains how the Seller Property Interview service handles information when a seller uses a private invitation or staff prepares a disclosure file.
Information collected
We collect transaction and contact details supplied by staff, the seller’s written transcript, organized property facts, draft questionnaire answers, consent and submission timestamps, and limited technical and security logs. Unsynchronized interview updates may remain briefly in recovery storage on the seller’s device and are removed after the server acknowledges them. Do not provide Social Security numbers, payment-card data, account passwords, or unrelated sensitive information.
Voice and AI processing
With the seller’s express agreement, microphone audio is processed live by OpenAI to conduct the conversation and produce text. This application is configured not to retain the audio recording. It does retain the transcript and draft answers so the interview can resume and be reviewed. AI can make mistakes and the resulting disclosure document is not final until reviewed by the seller and authorized real-estate staff.
How information is used
Information is used to conduct and resume the interview, prepare a draft Seller Property Questionnaire, support staff review, protect the service, diagnose failures, and meet transaction-record obligations. It is not sold or shared for cross-context behavioral advertising.
Service providers
The service uses OpenAI for live voice and language processing, Vercel for application hosting, Neon for encrypted database hosting, and Clerk for staff sign-in. These providers process information to deliver their contracted services.
Retention and deletion
Transaction records are assigned a three-year retention period by default. Information may be retained longer when required for an active transaction, dispute, security matter, or legal obligation. Authorized staff can revoke invitation access and delete a file when retention obligations allow.
Your choices and California rights
You may decline the voice interview and ask your agent for another way to provide information. You may request access, correction, or deletion of personal information, subject to applicable exceptions and record-retention duties. We may need to verify your identity and relationship to the transaction.
